Agile Project Management in context

First of all let us define project management.  I will define project management using three terms.  These terms are project initiation, project end and project storage. Agile Project management training courses can help this understanding.

When a project initiation has taken place and a plan has been created there is a project initiation phase.  A project starting point may be the creation of a plan. When this occurs the project initiation phase ends.

A project is an extension of an organization. A project is an extension of the people involved in the project, the skills and knowledge of those individuals and the organization they are attracted to, and the market demands those skills and market demands.

A project is a temporary fix.  It is an synthetic or organized existence.  A project is an extended end.  It is an extended process. It is not a repeat of the activities of preceding phases, projects, or activities.

When a project launch occurs, the project personnel normally have developed the plan for the project at some stage. There may be a formal plan or a charter. For example, a charter may be created in order to present a formal channel of duties to the project manager, staff members, project organization and basic over view of the project or services at this point.  A charter is a document that outlines the nature of the project charter.

A project initiation is when a project is initiated.  It may occur by request from clients or from a need to improve how a process is performed.  This may occur in response to problems or for a new, faster, more effective solution.

A project initiates when the idea for a project is developed.  If the idea is fro a new product a project is initiated at this time.  If the idea is for a new market offering a project is initiated at this time.  Projects can be initiation and initiation may not be complete until after the launch.

Many companies require that a project be initiated when the 1998 sustainability task force report is completed.  This report indicates that emissions from increasing greenhouse gas (GHG) emissions are to be exacerbated within ten years.  At this time there may be a need for more information or some added efficiencies or cost cutting measures.  One of the new strategies for cutting emissions is to implement a technology plan that will reduce GHG emissions by 85% in thirty years’ time.  The technology of projects as defined by Mitoff are now being extended by even the BP oil corporation to the more immediate agenda of managing changes to the regulations for GHG emissions.

A project is completed when the project is ready to be executed.  A project can have group phase, protocol or organizational phase z Walton andocalize.  Before the announcement of a protocol phase the project may have occurred in a small subsets of organizations.  A protocol phase when implemented will increase the communication across the taree as well as the normal scope of the organization with no additional expense to be incurred in the operation.  The new protocol does no additional work of any kind.

A project has been properly terminated and the individuals and entities have agreed to leave the remaining work behind.  A project can result in a legal issue if the remaining work is locked in place requiring the buy-in of the people in order to move forward.

The project storage phase is the last one that is identified in the report.  This is the consolidation and billing of the project generated work.  By aligning this phase to the business the organization will be ready for any documentation initiatives that might take place. For example, documents requests (RFPs) due the work of the team MUST be completed before the transferring of knowledge of the work to the representative services group or RFP to contract. Without this phase no consistent team work monitoring will be in place.

The tasks necessary to complete this phase include create a stored complete library ( Exhibit 1, Figure 2).  Customer facing documentation knowledge is communicated by the team lead to the project team.  This knowledge is stored in the library. Example:  the On-Site Support group may have knowledge stored in the library at the root level of the organization.

The team lead gathers the knowledge from all work groups in the group, inspects the repository, brings back their knowledge, creates documents to replace it and disposes of the documents in another format.  This part of the project plan is mandatory because the documentation will become the industry standard.

There is little documentation required in return.  However, other requirements of a project management team are designed to entice numerous projects at one time.

In summary, teams must be organized in some manner.  Team size should be tight so as to uncover a project.  Charters must be completed ( Exhibit 1, Figure 1).  Mediation skills are necessary to control team member issues where and when they develop.
